Things to know when booking an adventure with us

Booking Your Adventure

It’s easy to book your adventure. Choose one of our set itineraries on our website to book online, give us a call at (403) 986-6190 or send us an email request at info@pursuitadventures.ca.

We’re here to help if you’re not sure which tour is right for you, if you’re looking for more information, or if you would like us to customize an adventure for you. Give us a call, email us your questions or reach out with a direct message on social media.

Availability

All fares and prices quoted are subject to availability. Adventures can be withdrawn without notice. Some tours require booking 1 to 7 days in advance for online reservations. Contact us directly to inquire about last-minute bookings.

Availability is not confirmed until a deposit or payment has been received and confirmation is provided by Pursuit Adventures.

Pricing

Prices are subject to change until a booking is confirmed and the deposit or payment is received.

All tours are charged in Canadian dollars and are subject to a 5% Goods and Services Tax (GST). Some of the tours, activities, accommodations and packages we offer are delivered by third-party providers. Those tours may be subject to additional fees and taxes including the Alberta Tourism Levy, destination marketing fees, landing fees, etc. Additional fees may also be charged by the operator of those activities at the time of check-in (for example cargo fees are calculated and charged at the time of check-in for overnight helicopter trips based on your actual luggage weight).

On tours that include accommodation, you are responsible for any damages to the property or incidental charges. You may be required to provide a credit card deposit to the accommodation provider at check-in.

Payment

Payment is due at the time of booking for all tours, with the exception of some overnight, custom and group tours. Those tours require a 25% deposit at the time of booking with payment of the balance due 30 days prior to departure unless otherwise specified in your agreement.

Payment can be made by credit card or Interac e-Transfer and any related fees (for example currency exchange) are your responsibility.

Tickets and Vouchers

Tickets or vouchers are not required for our tours. We may require that you present a photo ID and/or the credit card that was used to pay for the booking when you check in for your adventure.

A ticket or voucher may be required for some activities provided by third-party providers. In those cases, you must provide the ticket or voucher prior to taking part in that activity according to the instructions included in your booking confirmation.

When Plans Change

Please understand that our trip dates and capacities are limited. Once we accept your booking we may be turning others away from booking that tour and we make commitments to our guides and third-party providers to make your adventure happen. This is why we ask that you let us know as soon as possible if you find it necessary to cancel or change your booking. At the same time, we understand that sometimes the best-laid plans still have to be changed and that’s why we do offer full credits for a future adventure in most cases.

Guest Cancellations

All payments, including deposits, are non-refundable.

Cancellations received by our office a minimum of 72 hours prior to departure will be offered a credit for a future booking. The credit will be for the full amount paid, minus any fees incurred for services offered by third-party providers according to their cancellation policy.

Cancellations received by our office within 72 hours of departure and guests who do not show up for their tour will forfeit all amounts paid. This includes guests who are more than 15 minutes late for their tour unless arrangements have been made.

We recommend that cancellations are done by email and we will confirm receipt of your cancellation. For cancellations near the 72 hours period, we recommend that you also call our office at (403) 986-6190.

Cancellations by Pursuit Adventures

We reserve the right to cancel tours if insufficient bookings have been received prior to departure. In the event that a tour is cancelled by us for this reason, you will be offered an alternative date. If no suitable alternative date is found, you will receive a full refund.

We reserve the right to cancel tours for any reason, including for safety considerations or logistical problems. In the event that a tour is cancelled for reasons outside of our control (for example weather or road conditions), you will be offered an alternative date. If no suitable alternative date is found, you will receive a credit for the full amount paid, minus any fees incurred for services offered by third-party providers according to their cancellation policy.

While we aim to ensure that the availability in our booking system is current, in some cases, a booking may be cancelled due to overbooking or a lack of availability for services offered by a third-party provider. We will contact you as soon as possible to make alternative arrangements or to provide a full refund if this happens.

We are not responsible for any expenses you may incur in preparation for a cancelled tour, including the advance purchase of plane tickets, visa fees or any additional travel arrangements associated with this tour.

Licenses and Permits

Many of our tours require that we obtain permits from various local authorities. This includes Access Permits from Alberta Environment and Parks for our tours on Abraham Lake, Commercial Guiding Permits from Alberta Parks for trails within protected areas, a business licence from Parks Canada for tours along the Icefields Parkway or departing from Lake Louise, along with various municipal licenses. These licenses and permits also include various conditions for our tours, such as the maximum number of guests per guide.

We reserve the right to cancel a tour in the event that the conditions attached to the permit change or if we are unable to renew a permit.

Itinerary Changes

Contact us as soon as possible if you wish to make any changes to the itinerary, including pickup time or location. Some changes may incur additional fees. This includes if you make changes to the rooming arrangements for tours that include accommodation.

We reserve the right to modify the itinerary of a tour for any reason, including the fitness level of the participants, weather conditions, highway conditions or logistical issues. We cannot guarantee arrival times. Due to the potential for delays we recommend that you allow ample time in your itinerary.

We are not responsible for any additional costs associated with delays due to situations outside of our control, such as injuries, weather conditions or highway closures. This includes situations where we may be required to spend a night in a hotel due to road closures or due to our driver reaching the legal maximum number of hours on duty as a result of road conditions.

Travel Insurance

We strongly recommend that you purchase a comprehensive travel insurance policy, including interruption, cancellation and medical coverage. If you cancel your trip or significantly alter the travel dates many policies will reimburse the cost of cancellation fees and related expenses. Make sure that you have sufficient coverage to cover medical expenses, including search and rescue services, in the event of an injury while on tour.

Your Adventure

Our tours are designed to be accessible to most and generally do not require advance preparation. The main thing you are responsible for is to ensure that we have all the required information for each guest in a timely manner and that you have all the required items that you must bring with you. This includes warm clothes on winter tours, proper shoes for hiking tours, etc. You’ll find all those details listed within each of the tour descriptions.

Adventures always have an element of risk. Although most of our tours do not require prior experience with the activities we’ll be doing, we do require that you have the appropriate level of fitness for the tour you have selected. Please let us know as soon as possible if you have any physical limitations or concerns but understand that we are not qualified to evaluate your fitness level. You are responsible, possibly in discussions with your doctor, to determine if our adventures are right for you. When making those decisions, keep in mind that many of our tours are in remote areas where medical assistance may be delayed.

Release of Liability, Waiver of Claims, Assumption of Risks and Indemnity Agreement

All participants must sign a release of liability, waiver of claims, assumption of risks and indemnity agreement prior to departure. The document is available here for you to review prior to booking your adventure. You will be asked to sign the document in person when you check in for your tour.

Additional waivers for specific activities may be required by third-party providers.

Photographic Release

We may take photos and videos on any of our tours. These photos and videos may be used by us and our partners, including destination organizations and travel media, for promotional or commercial purposes without remuneration to the guest.

Guests are responsible for letting us know if they do not wish to be included in pictures or videos taken during the tour.

Dietary Restrictions

Many of our tours, like our hikes and Abraham Lake Ice Walks, are in areas where there are no nearby restaurants or stores. For this reason, we need to know as soon as possible if you have any dietary requirements so that you can ensure that we have sufficient food for all the guests. We offer vegan and gluten-aware options upon request and we will do our best to accommodate your specific needs whenever possible.

Guests with severe food allergies may need to supply some or all their own food on tours. Our kitchen is not peanut or nut-free and the chances of cross-contamination exists. Given the challenges of serving food in remote areas, it is also not possible to completely mitigate the risk of allergen cross-contamination during meal services. Please contact us to discuss your requirements and possible alternative arrangements that can be made.

Gratuities

Our guides work very hard to provide you with an excellent experience. They appreciate your thanks in many ways, including when you share your positive experience in a review or photos of your adventure, and if you wish with a gratuity provided directly to the guide.

Guide Requests

We have great guides and we understand that you may wish to request your favourite guide for your next adventure. We do try to accommodate requests whenever possible but please understand that this is not always possible for a variety of reasons.

Undesirable Behaviour

We reserve the right to terminate a guest’s participation in any activity or tour when they engage in behaviour that is deemed by our guides to be unsafe for any of the guests, causes damages to property, or is acting in a way that prevents the other participants from enjoying their tours. In the event that participation is terminated no refunds will be issued and the participant will be responsible for all costs associated with their return to the departure point.
